eWinery Club Management: Pick Up Lists

Overview and instructions to manage pick-ups in eWinery without using an integrated point of sale.

Pick-Up List

If you are not using an integrated point of sale, such as NVPOS or MoJoe, you may need to create yourself a list of wine club members who have orders to be picked up. The list is then used to manage these orders, whether it be to track will call inventory, manage will call orders to be shipped out or create a will call sign out sheet to be used in the tasting room.

Build a Will Call Report

No matter what your purpose for this list, the report you will use to create it is always the same. Once the report is set up in the Report Center, you can use the different filter options in the Report Center and later in Excel. Follow the steps below to create and save this report to the eWinery My Reports section.

  1. In the Admin Panel, go to Reports then choose "Report Center" from the sub navigation.

  2. Once in the Report Center, choose the "Report Builder" from the menu on the left.

  3. The Report Builder will open revealing the 3-step process of creating reports.
This basic process for creating reports is covered completely in the eWinery Report Center section. In this document, we will focus on the specifics of this report.

In the first step, set the general details of your report. Settings here can vary based on your preference, the one thing you MUST choose is the "Will Call Report" from the base report drop down.

  • In the second step, choose the fields you would like applied to your report and any applicable filters.

You will need to add/subtract and rearrange the selected fields for this report. Here's the list in the correct order.

    - OrderType
    - OrderDateCompleted
    - OrderNumber
    - ClubBatchNumber
    - ClubLevel
    - BillingLastName
    - BillingFirstName
    - BillingEmail
    - BillingPhone
    - WillCall?
    - WillCallPickedUp?
    - WillCallLocation
    - OrderStatus

  • The filters section of this report is very important. Without filters you will end up with more information on our report than you desire. We suggest setting the filters* as displayed to the left.

*Date range in the filter will vary.
  • In the third step, double check your settings then click "Save & Run". You report will be saved to the "My Reports" section of the Report Center and the latest copy of the report will be offered as an Excel file to either be saved or opened depending on your specific browser preferences
