eWinery Collateral
Overview of the definition and use of collateral products in eWinery, including step-by-step guides to add collateral to any product or kit.
Collateral Products
Collateral products in eWinery include anything you may want to add to an order that you do not plan to charge for. Collateral items are added to an order and passed on to fulfillment as a part of the order without triggering any shipping requirements (carrier, separate boxes, shipping charges etc).
A few examples of collateral items;
- Tasting Notes
- Wine Club Newsletters or Flyers
- Special Packaging (gift bags or boxes)
- Greeting Cards
Adding a Collateral Product

From the Admin Panel, go to Store > Products

In the Left hand menu, choose "Add a Product"

Choose "Collateral" form the drop down provided and click SAVE.
In the Collateral set up, add a SKU and product name.
Add Collateral to a Wine Product

To use Collateral in eWinery you must:

Make sure that the Collateral product type is enabled on your Admin Panel.
If not, contact the Client Services Team at support@vinsuite.com to have this product type enabled. -
Set up your Collateral SKU's in eWinery.
The Collateral tab allows you to add additional items to accompany this wine product. Collateral items do not affect any of the sales, tax, or shipping details of the product it is attached to. Examples of Collateral could include a Thank You Note, Wine Club sign-up brochure, free tasting passes for the customer?s next visit, etc.
To add Collateral:

Click Add Collateral to this Product.

Choose the Collateral you wish from the drop-down list and enter the quantity to accompany this particular wine product.

Click the Add button, and you will see the new collateral you selected listed. If you make a mistake or later wish to change this, you can click the delete button to delete this entry.

Click SAVE before moving on to another tab.
If you are a ShipCompliant user, you will need to make sure to set up your Collateral SKU in ShipCompliant with a brand key of NONWINE.
Add Collateral to a Non-Wine Product

The Collateral tab allows you to add additional items to accompany this wine or non-wine product. Collateral items do not affect any of the sales, tax, or shipping details of the product it is attached to. Examples of Collateral could include a Thank You Note, Wine Club sign-up brochure, free tasting passes for the customer?s next visit, etc.
If you do not see this as a product option it can be enabled by contacting the Client Services Team at support@vinsuite.com .
Adding Collateral Items to a Non-Wine Product

Click Add Collateral to this Product.

Choose the Collateral you wish from the drop-down list and enter the quantity to accompany this particular wine product.

Click the Add button, and you will see the new collateral you selected listed. If you make a mistake or later wish to change this, you can click the delete button to delete this entry.

Click Save before moving on to another tab.
Add Collateral to a Club Batch

To start a new club batch, choose Club from the main menu.

The Club Processing screen will open, choose "Start a new club processing batch" from the left hand menu.

In the popup, first give your batch a name. Each club level will have its own batch, batch numbers are automatically assigned.

Best Practice here suggests that the batch name should be some combination of the club level and the date of the batch.
For example; "FALL14 Gold" would represent the Fall 2014 shipment for the Gold Club.
From the Club Level drop down menu, choose the club level that you want assigned to this batch. This selection will dictate which wine club members are pulled into this batch.

Click SAVE. After save is complete the pop up will display the tabbed layout, work through the tabs from left to right. The information you just entered will be on the "General" tab.

Go to the "Shipment & Wines" tab, this is where you will set up your template for all of the orders in this wine club batch.

In the first section (Club Batch Info), enter your "Target Ship Date".

This date dictate which members within the selected club level are eligible to receive orders in this club batch based on hold date. Members excluded from the batch will be anyone who is active and not on hold on or before the target ship date.

The second section (Wines Info), lists the wines that will be included on each club orders. First enter the "Rate" for the shipment. The Rate amount should be the subtotal for the orders, before any discount, tax or shipping is applied.

Next, enter the number of bottles you plan to include in the shipment. IF this or the rate field is already filled in for you skip to adding wines. Add wines to the order using the pull down menus provided, ignore the price field for now.

You will need to choose a wine on each line, even if your shipment has multiple bottles of the same wine you will need to choose them multiple times to fill in all the lines. Choose the wines first then come back and adjust the prices.
Adjust the prices for the line items on the orders one at a time, start a the top of the list working your way down. Prices should be adjusted to the retail price of the wine, no discounts.

The third section (Offer Code Info), controls any discounts that may be applied to the orders created in the batch. To add a discount, click the green plus sign in this section, select the desired discount from the drop down, then click the plus sign again to add the discount.

You may add as many discounts as you would like to the order template, the system will work out who gets what discount as orders are created.

In the fourth section (Collateral Info), you may select any collateral items you would like to include with each club order.

Depending on your product setup, you may or may not see this section. If you do not have any collateral products set up in eWinery, you will not see this section in club batch processing.
Add Collateral to Kits ![]()
Allows you to add collateral to a kit (newsletter, tasting notes, etc.) You must have Collateral products set up to use this feature. 
Adding Collateral to a Kit:
- Click ?Add Collateral to this Product?

Select the collateral from the drop down and click the green plus sign to add.
Repeat as needed until all collateral pieces have been added. -
Click SAVE.
