Instructions to enable eWinery Fulfillment setting for Internal Support Personnel Only

eWinery Fulfillment: Enable Fulfillment Settings (Internal)

Note: These instructions are for internal use only. Clients must contact the vinSUITE Client Services Team at support@vinsuite.com to enable Fulfillment permissions in eWinery.

1) In the eWinery Master Admin panel, select the winery from the displayed list where you would like to enable fulfillment.

2) Once you have clicked on your chosen winery, a new window will pop up. Navigate to the Settings tab.



3) In the Settings tab, scroll down to the Fulfillment section. Click the 'Native Fulfillment Enabled' checkbox to enable access to Fulfillment for the winery.

Note: Enabling this option is necessary to access the Fulfillment Permissions, the 'Fulfillment' tab in the general settings, and the Order Fulfillment page in the Order section.


4) Click the 'Save' button at the bottom of the page to save the Fulfillment Settings.

5) Navigate to the Contacts tab. Click the 'Edit' icon to review the contact and edit Permissions for the user.

Note: Only those with administration permission will have access to edit the Contacts.

6) The Edit Contact window will open in the work space. Check the 'Fulfillment Module' checkbox to allow access Order Fulfillment in the Orders section.

Note: This must be enabled individually for every user you want to access Order Fulfillment.

Enabling this checkbox will allow the user to access Order Fulfillment, so they can generate and print labels, as well as mark order(s) as shipped.

7) Click the 'Save' button to save any adjustments for the selected Contact.

8) Return to the Master Admin home page. Select your winery from the top drop-down list and click the 'GO' button.


9) On your winery home page, click the Setting Icon.

10) The Settings window will open. Navigate to the Fulfillment tab.

11) On the Edit Fulfillment Setting page, complete the appropriate fields.

UPS Account Settings

Enable UPS? | Select the 'Enable UPS' toggle to enable the carrier and edit all the fields in the UPS section.

  • UPS Account #
  • Enter your UPS Account Number.

    Note: The user must have their own UPS account. vinSUITE cannot provide this third-party information.

  • Access Key
  • Enter your UPS Access Key.

    Note: The user must have their own UPS account. vinSUITE cannot provide this third-party information.

  • Username
  • Enter your UPS Username.

    Note: The user must have their own UPS account. vinSUITE cannot provide this third-party information.

  • Password
  • Enter your UPS Password.
  • Print Labels
  • Select the 'Print Labels' checkbox to allow the user to generate and print shipping labels for fulfillment orders.
  • Fetch Tracking Info
  • Select the 'Fetch Tracking Info' checkbox to enable the system's feature to retrieve the latest tracking information from the carrier.

    Note: The tracking information is updated once a day in the evening (Pacific Standard Time).

  • Delivery Status Check
  • Select the 'Delivery Status check' checkbox to enable vinSUITE to send automatic status update emails to customers about their orders.

    Any status update emails will be sent to the email address entered in the shipping field and will be sent out when:

    • The package has shipped
    • The package is in transit
    • The package is delivered
    • A package delivery was attempted, but unsuccessful
    • The package was returned to the winery

    Note: If the 'Fetch Tracking Info' checkbox is not enabled, tracking information will not be recorded in vinSUITE. The customer will only receive a status email when their order is shipped (marked as 'Shipped' in vinSUITE).

FedEx Account Settings

Enable FedEx? | Select the 'Enable FedEx' toggle to enable the carrier and edit all the fields in the FedEx section.

  • FedEx Account #
  • Enter your FedEx Account Number.

    Note: The user must have their own FedEx account. vinSUITE cannot provide this third-party information.

  • Meter #
  • Enter your FedEx Meter Number.
  • Web Key
  • Enter your FedEx Web Key.
  • Web Password
  • Enter your FedEx Web Password.
  • Print Labels
  • Select the 'Print Labels' checkbox to allow the user to generate and print shipping labels for fulfillment orders.

  • Fetch Tracking Info
  • Select the 'Fetch Tracking Info' checkbox to enable the system's feature to retrieve the latest tracking information from the carrier.

Package Configuration

Package Dimensions List | The Package Dimensions List details all added package sizes and their dimensions. The details displayed in this list are: Name of the box you will use for packaging (big brown, medium 2x4, etc.) Length of the box Width of the box Height of the box Units used in size measurement Weight of the box and any packing materials Units used in weight measurement The maximum number of bottles this box can hold Note: For additional information on editing a new package configuration, please visit the eWinery Fulfillment: Add A Shipping Package page.

  • Add Packaging

  • Click the 'Add Packaging' button to add a new package to the list below.

12) Click the 'Save' button at the bottom of the page.

Note: To utilize all of the Fulfillment features correctly, you must additionally:

Once the Fulfillment settings are configured correctly, all orders that will be shipped (noted in the Shipping and Handling section of OMS) and have a 'Completed' order status, should display in Order Fulfillment. You are now ready to process Fulfillment Orders!
