Information about List Building

The ListBuilder is a powerful tool to help you create customer lists that target specific subsets of your customer database. The ListBuilder allows you to create a 'profile' for a particular member type and their buying preferences. You can then send meaningful emails to specific customers in the list to ensure a higher response rate.


For example, using ListBuilder, you can create special offers to target:

  • Customers who purchased Chardonnay during the last six months and spent over $250.

  • Customers who purchased Chardonnay in the past, but not in the last six months.

  • Wine Club Members who have a credit card on file that is set to expire in the next 60 days.

  • Subscribers who have indicated in their Profile that they are interested in attending a winemaker dinner that you are planning.

Adding a List Using ListBuilder

  1. Click the Members icon on the Admin Panel. In the menu bar, select ListBuilder.

    The ListBuilder page appears. All previously written lists will display on this screen.
  2. Click "Add a List" in the left pane. The Add List window will open.
  3. In the Add List dialog box, enter a name for the list (i.e., Chardonnay Buyers) in the List Name box.
  4. Click SAVE.
    There are several tabs and fields within each tab to enter. Work through the tabs from left to right, the selections you make on each tab will narrow your list down to just the customers you wish to remain on your list. Be sure to click SAVE on each tab as you go.

NOTE: List Builder is a filter. All lists are pulled in real time with the most up to date information. Therefore the same filter does not need to be recreated each time you would like updated information for the same query.

ListBuilder Tabs

General Tab

The information you enter on the Add window appears on the General tab after you Save. If necessary, edit the list name in this tab and click SAVE.



Members Tab

On the Members tab, select specific member types, members who joined after a specific date, members with birth dates before, after, or between specific dates, members who last logged on before or after a specified date, or members in specific states (if you do not choose specific states, your list will include members in all states).

Click SAVE.



Club Members Tab

On the Club Members tab you can select from your different wine club levels, anniversary dates (great for rewarding members on certain anniversary dates), membership status (Active or Inactive), or card expiration date (email members with expired cards in advance of your wine club shipment to avoid card declines).

Click SAVE.



Preferences Tab

Use the Preferences tab to build an email list based on specific responses to your Preference Based Marketing profiles.

Click SAVE.



Wines Tab

Use the Wines tab to build a list of wine enthusiasts based on their past purchases.

You can choose from the following:
Wine Type (i.e., Red Wine, White Wine, Dessert Wine), Wine Brands, Varietals, Appellations, Amount Spent (above or below a specified amount), Number of Bottles purchased (greater than or less than a specified quantity), Vintage, or Bottle Size.

Click SAVE.






Products Tab

Use the Products tab if you wish to drill down to purchasers of a specified SKU or SKUs (separate the SKUs by comma), or a specified category or categories of wines and/or products.

Click SAVE.



Orders Tab

Use the Orders tab to select customers who purchased products within a specified time frame, spent a specified dollar amount, or live in certain states.

Click SAVE.





Excludes Tab

Use the Excludes tab if you wish to exclude, from the list you are currently building, the customers who are in different lists.

Important: You may not exclude lists that are excluding other lists.

Click SAVE.



Summary Tab

Once you have made your list selections in the various tabs, the Summary tab:

  • Get the number of members who meet your criteria.
  • Shows you the search criteria used to compile the list.
  • Allows you to download an Excel spreadsheet displaying the following information: Birth date, First Name, Last Name, Company, Address, Phone, and Email.



Exporting lists from ListBuilder

  1. Create your list in ListBuilder, when you are done go to the "Summary" tab.
  2. Click the "Download List" button. The list will run and a copy will export to Excel, depending on your browser settings the file will either open automatically or save to your Downloads folder.


Preview Tab

Once you have made your list selections in the various tabs, the Preview tab:

  • Displays all members who meet your criteria with Last Name, First Name and Email Address (billing) in sortable grids.
  • Provides a search field to look for a particular member by the criteria displayed
  • Allows you to enter and view the Member profile right from the list by clicking the green pencil to the right of the email address.

This tab allows you to see all members that met the criteria of the list at a quick glance without having to search in the excel file. This tab also allows you to click right into the member profile from the list without having to leave the current area of the admin panel or window.

Edit Lists Using List Builder

  1. Click the Members icon on the Admin Panel. In the menu bar, select List Builder.

    The List Builder page appears. The lists previously created appear in the right panel.

  2. Select an item from the list, and click the Edit icon to open the Edit List window.
  3. There are several tabs and fields within each tab to enter.

  4. Click SAVE on each tab.


Delete a List Using List Builder

  1. Click the Members icon on the Admin Panel. In the menu bar, select ListBuilder.

    The ListBuilder page appears. The lists previously created appear in the right panel.

  2. Select an item from the list, and click the Delete icon beside the list.

  3. You will receive a message prompting you to confirm the deletion. You will not be able to undo the deletion.

    Click OK.

NOTE: Deleting a list is only deleting a filter. You will not lose any pertinent customer information in your software.

Using Lists

Your List Builder results can be used in several different ways to communicate with your customers:
  • Create and send emails directly from the Admin panel via the Send Mass Email option.
  • Download a list that can be uploaded to Vertical Response or another third party email program.
  • Download a list that can be mail-merged with popular software programs like Microsoft® Word to create written communications.
  • Use the telephone numbers displayed in your list to contact your members by phone.



Sample Lists

Here are two examples of how to use List Builder.

Example #1

To create a customized list that targets specific customers (Purchasers), follow the steps below.

  1. Click the Members icon on the Admin Panel. In the menu bar, select List Builder. The List Builder page appears.

  2. Click Add a List in the left pane.

  3. Assign a name and click Save.

  4. Click the Member Tab.

  5. Select the Purchasers Member Type.

  6. Click Save.

  7. Click the Wine Tab.

  8. Under amount spent, select Greater Than and type an amount.

  9. Click SAVE.



Example #2

To create a list of Subscribers that has joined within a specific time range, follow the steps below.

  1. Click the Members icon on the Admin Panel. In the menu bar, select List Builder. The List Builder page appears.

  2. Click Add a List in the left pane.

  3. Assign a name and click Save.

  4. Click on the Member Tab.

  5. Inside Member Type, select Subscriber.

  6. Specify the Date Added.

  7. Click SAVE.


Additional Examples:

The lists that you create and save are automatically updated to add new customers who meet the criteria you have established. For example, let's say that you create a list of Club Members whose cards are expiring before a specified date sixty days out. Assume 100 members fall into this category. If you run the same list 30 days later and find that there are only 50 members on the list, you will know that 50 members opened the email and went online to update their credit card information. Now you can send another email to the remaining 50 members or call them directly.


Your List Builder results can be used in several different ways to communicate with your customers:
