Fulfillment: Enable Fulfillment Settings
Step-by-step guide to enable Fulfillment setting in vinSUITE
Enable Fulfillment Settings
1) In the vinSUITE admin panel, click the orange 'Settings' button in the top right of your screen. From the drop-down menu, select 'System Settings'.

2) The System Settings will open in the work space. The General Settings tab will open first as the default page.
Note: Access to System Settings is controlled by the user roles and privileges.

3) In the Fulfillment field, select the 'Use vinSUITE Native' option from the drop-down menu.
Note: Enabling this option is necessary to access the next 'Fulfillment' tab in the System Settings sub-menu and the Order Fulfillment page in the Order section.

Note: The 'Send Drop Ship emails to Fulfillment House' checkbox is only applicable if you have a Fulfillment House, and do not use vinSUITE Fulfillment Native. Please visit the System Settings: General Settings page for more information on the 'Send Drop Ship emails to Fulfillment House' checkbox.
4) Click the 'Save' button at the bottom of the page to save the Fulfillment Settings.

5) A new Fulfillment tab will open in the System Settings sub-menu. Navigate to the Fulfillment tab.

6) Complete the appropriate fields.
UPS Account Settings

Enable UPS? Toggle | Select the 'Enable UPS' toggle to enable the carrier and edit all the fields in the UPS section.

- UPS Account #
Enter your UPS Account Number.
Note: The user must have their own UPS account. vinSUITE cannot provide this third-party information.

- Access Key
- Enter your UPS Access Key.
Note: The user must have their own UPS access key. vinSUITE cannot provide this third-party information.

- Username
Enter your UPS Username.
Note: The user must have their own UPS username. vinSUITE cannot provide this third-party information.

- Password
Enter your UPS Password.
Note: The user must have their own UPS password. vinSUITE cannot provide this third-party information.

- Print Labels
- Select the 'Print Labels' checkbox to allow the user to generate and print shipping labels for fulfillment orders.

- Fetch Tracking Info
Select the 'Fetch Tracking Info' checkbox to enable the system's feature to retrieve the latest tracking information from the carrier.
Note: The tracking information is updated once a day in the evening (Pacific Standard Time).

- Delivery Status Check
- The 'Delivery Status Check' checkbox is not functional at this time.
FedEx Account Settings

Enable FedEx? Toggle | Select the 'Enable FedEx' toggle to enable the carrier and edit all the fields in the FedEx section.

- FedEx Account #
Enter your FedEx Account Number.
Note: The user must have their own FedEx account. vinSUITE cannot provide this third-party information.

- Meter #
Enter your FedEx Meter Number.
Note: The user must have their own FedEx meter number. vinSUITE cannot provide this third-party information.

- Web Key
Enter your FedEx Web Key.
Note: The user must have their own FedEx web key. vinSUITE cannot provide this third-party information.

- Web Password
Enter your FedEx Web Password.
Note: The user must have their own FedEx web password. vinSUITE cannot provide this third-party information.

- Print Labels
Select the 'Print Labels' checkbox to allow the user to generate and print shipping labels for fulfillment orders.

- Fetch Tracking Info
Select the 'Fetch Tracking Info' checkbox to enable the system's feature to retrieve the latest tracking information from the carrier.

- Delivery Status Check
The 'Delivery Status Check' checkbox is not functional at this time.
Package Configurations

Add New Package | Click the 'Add New Package' button to add a new package to the list below. Note: For additional information on adding a new package configuration, please visit the Add A Shipping Package page.

- Package Dimensions List
- The Package Dimensions List details all added package sizes and their dimensions. The details displayed in this list are:
- Name of the box you will use for packaging (big brown, medium 2x4, etc.)
- Length of the box
- Width of the box
- Height of the box
- Units used in size measurement
- Weight of the box and any packing materials
- Units used in weight measurement
- The maximum number of bottles this box can hold

7) Click the 'Save' button to save the UPS and FedEx Account Settings.
8) Click the orange 'Settings' button in the top right of your screen. From the drop-down menu, select 'User Management'.

9) The User Management will open in the work space. In the User Management sub-menu, select the 'Roles' tab. Click the 'Edit' icon to review the User Role and edit Permissions for the selected Role.
Note: Only those with administration permission will have access to edit the User Roles.

10) The Edit Role page will open in the work space. Enable the 'Fulfillment Settings' and the 'Fulfillment Orders' if applicable.

Fulfillment Settings | In the Admin Panel Access section, switch the 'Fulfillment Settings' toggle to 'YES' to allow the User Role to configure Fulfillment Settings. Enabling this toggle will allow the User Role to access to the Fulfillment tab on System Settings sub-menu. This User Role can alter the Fulfillment Settings, enable and disable carriers, and change carrier credentials. While any User Role can be chosen, but this is usually reserved for administrators.

- Fulfillment Orders
In the Order Permissions section, switch the 'Fulfillment Orders' toggle to 'YES' to allow the User Role access to process Fulfillment orders.
Enabling this toggle will allow the User Role to access Order Fulfillment in the the admin panel.
This User Role can generate and print labels, as well as mark order(s) as shipped.
Note: The 'Orders' toggle must be set to 'YES' in Admin Panel Access section to enable any access to the Order Permissions section.
11) Click the 'Save Role' button to save any adjustments for the selected Role.

Note: To utilize all of the Fulfillment features correctly, you must additionally:
- Add the appropriate Shipping Packages in System Settings
- Please visit the Add A Shipping Package page for more information.
- Ensure all UPS Shipping Types you plan on using are updated in the Shipping Types and Shipping Rates sections.
- Please visit the Setting Up Shipping Options page for more information.
- Ensure product information is up-to-date, especially size and weight of products
- Please visit the Add a First Party Wine Product page for more information.
Once the Fulfillment settings are configured correctly, all orders that have the Shipping toggle set to "YES" in the Shipping and Handling section and have a 'Completed' order status, should display Order Fulfillment. You are now ready to process Fulfillment Orders!
