Getting Started in 5 Minutes

Access & Setup

  • Browser: Use Google Chrome (recommended)
  • Permissions: Account Owners have default access; other users need vinSight access enabled for their role
  • Data Refresh: Updates daily overnight

Dashboard Basics

Two Main Views

  • Sales Overview - Revenue, products, and sales performance
  • Wine Club - Membership, retention, and member engagement

Navigation

  • Click tabs at bottom to switch between views
  • Click Clear selections (top right, below date) to reset all filters
  • All data responds to filters - clicking any element updates the entire dashboard

Key Actions

Change Date Range

  1. Click Filters icon (top right)
  2. Adjust date settings
  3. Click Apply filter

Filter Data

  • Click any element to filter (states, products, members, etc.)
  • Multiple selections: Hold Ctrl (Windows) or Command (Mac) and click
  • Reset view: Click "Clear selections"

Export Data

  1. Hover over any table
  2. Click More Options (three dots)
  3. Select Export data

Sales Overview - Top Metrics

Metric | What It Means | Watch For

  • Net Sales

  • Revenue after discounts/refunds

  • Green % = growth

  • Volume (L)

  • Wine sold in liters

  • Track physical movement

Quick Analysis Tasks

Check Daily Performance

  1. Review top 3 KPIs (Net Sales, Volume, Club)
  2. Look at trend chart - solid line (this year) vs dotted line (last year)
  3. Check green/red percentages for growth indicators

Analyze by Region

  1. Click a state in ShipState table
  2. See which products sell best in that region
  3. Click Clear selections when done

Review Product Performance

  1. Click a wine in ProductName table
  2. Check which states buy it most
  3. Review YoY % (green = growth, red = decline)

Find Peak Sales Times

  1. Look at Hour_Group table (bottom)
  2. Darker orange = higher volume
  3. Use for staffing decisions

Wine Club - Top Metrics

  • Net change (Signups - Cancellations)

  • Negative = losing members

  • Avg. Tenure (M)

  • Higher = better loyalty

RFM Scoring (Member Engagement)

Segment | Score | Meaning | Action

  • Gold

  • 12-15

RFM Components (each scored 1-5):

  • R = Recency (how recently purchased)
  • F = Frequency (how often purchased)
  • M = Monetary (how much spent)

Quick Analysis Tasks

Identify At-Risk Members

  1. Go to Member's Name table
  2. Click More Options (...) ? Sort descending on Churn Risk %
  3. Export top at-risk members for outreach

Understand Why Members Cancel

  1. Review Cancellation Reasons chart
  2. Click top reason to filter dashboard
  3. Examine which Club Levels and States are affected
  4. Take action based on top reasons

Monitor Membership Health

  1. Check if Club Growth is positive
  2. Review Retention % (aim for positive)
  3. Look at Avg. Tenure trend (increasing = good)
  4. Set trend chart to Members to see trajectory

Find Your Best Members

  1. Go to Member's Name table
  2. Sort by LTV (descending)
  3. Cross-check with Churn Risk %
  4. High LTV + High Risk = urgent intervention needed

Understanding Colors & Indicators

Percentages

  • Green = Positive growth vs. last year
  • Red = Decline vs. last year

Charts

  • Solid orange line = Current year
  • Dotted line = Last year
  • Dark orange bars = Current year
  • Light peach bars = Last year

Heat Maps (Hour_Group table)

  • Darker orange = Higher values
  • Lighter orange = Lower values

Data Markers

  • "--" = No data available (e.g., no refunds, no tips)

Essential Keyboard Shortcuts

  • Ctrl/Cmd + Click = Select multiple items
  • Esc = Exit Focus Mode

Common Workflows

Daily Check (2 minutes)

  1. Open Sales Overview
  2. Review Net Sales, Volume, Orders
  3. Check trend chart direction
  4. Note any red percentages

Weekly Review (10 minutes)

  1. Sales: Check top products, regions, channels
  2. Wine Club: Review Club Growth and Retention %
  3. Identify top 3 action items
  4. Export relevant data for team

Monthly Deep Dive (30 minutes)

  1. Compare month-over-month across both tabs
  2. Analyze cancellation patterns
  3. Review at-risk members (Churn Risk %)
  4. Assess club tier performance
  5. Create targeted campaigns based on insights

Pro Tips

? Start broad, drill down - Review overall metrics, then use filters for detail

? Clear filters often - Avoid accidentally viewing filtered data

? Watch the date range - Always confirm you're looking at the right period

? Combine filters - Example: CA + Cabernet + Q4 for specific insights

? Export for action - Use exports for campaigns, calls, team assignments

? Focus on trends - Single data points matter less than directional patterns

? Use Focus Mode - Expand tables for detailed analysis (hover ? expand icon)

Quick Troubleshooting

Issue | Solution

  • Dashboard looks filtered

AOV - Average Order Value ($/order)
Churn Risk % - Likelihood member will cancel
LTV - Lifetime Value (total member spending)
Net Sales - Revenue after discounts/refunds
RFM - Recency, Frequency, Monetary engagement score
Volume 9L - Industry standard 9-liter case equivalent
YoY - Year-over-Year comparison
