Common Tasks and Workflows

Checking Daily Sales Performance

  1. Ensure date range is set to current period (or adjust using date filter)
  2. Review top three KPIs: Net Sales, Volume, Club membership
  3. Check percentage changes (green = positive, red = negative)
  4. Look at the trend chart to see if performance is trending up or down

Analyzing Regional Performance

  1. Click on a state in the ShipState table (e.g., CA)
  2. Review how all metrics update
  3. Check the ProductName table to see which wines perform best in that region
  4. Compare ShipState vs BillState to understand gift shipping patterns
  5. Click Clear selections when finished

Reviewing Product Performance

  1. Click on a wine in the ProductName table
  2. Examine which states buy this product most (ShipState table)
  3. Check which channel drives the most sales (bar chart upper right)
  4. Review sales trends over time in the line chart
  5. Look at YoY % to see if the product is growing or declining

Understanding Member vs. Non-Member Sales

  1. In the Sales Associate Name section, click the Member's Name toggle
  2. Sort the table by descending order to identify top customers
  3. Toggle to Sales Associate Name to see staff performance
  4. Click Clear selections to reset

Identifying Peak Sales Times

  1. Locate the Hour_Group table at the bottom
  2. Look for darker orange cells indicating higher volume
  3. Note patterns by day of week
  4. Use this information for staffing and operational planning

Comparing Year-Over-Year Performance

  1. Look at the trend line chart - solid line is current year, dotted line is last year
  2. Check the YoY % columns in data tables (green = growth, red = decline)
  3. Review the top KPI cards for overall percentage changes
  4. Filter by specific products or regions to see where growth is occurring

Tips and Best Practices

Effective Dashboard Use

Start Broad, Then Drill Down: Begin by reviewing overall metrics, then use filters to investigate specific areas of interest.

Use Multiple Filters: Combine geography, product, and time filters to uncover detailed insights. For example: "How did Cabernet Sauvignon perform in California during the holiday season?"

Clear Filters Regularly: Click "Clear selections" frequently to ensure you're seeing complete data and not accidentally filtering your view.

Compare Time Periods: Use the date filter to compare similar periods (e.g., this December vs. last December) for seasonal analysis.

Watch for Color Coding:

  • Green percentages = positive growth
  • Red percentages = decline
  • Darker orange = higher values (in heat maps)
  • Light peach = prior year data (in bar charts)

Export for Deep Analysis: Use the Export data function to download tables for custom analysis in Excel or sharing with your team.

Check Data Freshness: Remember that data refreshes overnight, so today's transactions will appear tomorrow.

Understanding Your Numbers

"--" Values: When you see "--" in fields like Refund Amount or Tip Amount, this means no data exists for that metric in the selected period (no refunds were processed, no tips were received).

Percentage Changes: Year-over-year percentages help you understand trends, but consider the context:

  • A small dollar amount with a large percentage change may be less significant than a large dollar amount with a moderate percentage
  • New products will show extreme percentages or no comparison data

Retention %: A negative retention percentage indicates you lost more members than you gained. Focus on both reducing cancellations and increasing signups.

Volume Measurements: Use Volume (L) for precise liquid volume and Volume 9L for industry-standard case equivalents when comparing to industry benchmarks.

Troubleshooting

Dashboard Looks Filtered But I Didn't Select Anything:

  • Check if filters from a previous session are still active
  • Click "Clear selections" to reset to default view

Data Seems Incomplete:

  • Verify your date range covers the period you want to analyze
  • Remember data refreshes overnight - today's sales appear tomorrow

Can't See All Products/States/Names:

  • Tables may be scrollable - look for scroll bars
  • Use Focus Mode (expand icon) to see tables in full screen
  • Use search or filter functions within tables

Numbers Don't Match My Records:

  • Confirm the date range matches your reporting period
  • Check if any filters are active that might exclude data
  • Remember the dashboard shows net sales (may exclude certain transaction types)

Performance is Slow:

  • Try using Google Chrome (recommended browser)
  • Avoid applying too many complex filters simultaneously
  • Consider analyzing smaller date ranges
  • Close other browser tabs to free up memory

Switching Between Views

At the bottom of the dashboard, you'll see two tabs:

  • Sales Overview: Comprehensive sales analytics
  • Wine Club: Specific wine club member analytics and retention insights

Click either tab to switch views. Both tabs use the same filtering and interactive functionality described in this guide.
